We take your privacy seriously. This policy explains who we are, what personal data we collect when you use this website, why we collect it, who we share it with, and the rights you have over it.

We are responsible for the personal data we collect through this website. When we do so we are subject to the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

This website is provided by E.B.I. Solutions Ltd (company number 04217074), The London Office, 167–169 Great Portland Street, 5th Floor, London W1W 5PF. We are the controller of personal data obtained through this website, meaning we are the organisation legally responsible for deciding how and why it is used.

This website links to other websites operated by third parties. Those websites collect information under their own privacy policies, which you should consult separately.

What we collect

The personal data we collect depends on how you use the site.

  • Contact details you give us. When you request a discovery call or email us, we collect your name, work email address, organisation, and whatever you tell us about your enquiry — including any preferred times for a call.
  • Technical and usage data. When you browse the site we collect your IP address, browser type and version, device and operating system, referring page, and the pages you visit. This is collected through our analytics and by the servers that deliver the site.

We do not ask for or store payment details, and we do not collect special category data through this website.

Why we use it, and our lawful basis

  • Responding to your enquiry and arranging a call — your contact details and the description of your enquiry. Our lawful basis is our legitimate interest in responding to people who contact us about our services, and taking steps at your request before entering a contract.
  • Understanding how the site is used so we can improve it — technical and usage data, in aggregate. Our lawful basis is your consent where analytics cookies require it, and otherwise our legitimate interest in running an effective website.
  • Keeping the site secure and preventing abuse — technical data. Our lawful basis is our legitimate interest in protecting our systems, and compliance with our legal obligations.

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights, and concluded they are not. You can object at any time — see your rights below.

Cookies and analytics

We use Google Analytics 4 to understand how visitors use the site — which pages are read, how people arrive, and where they leave. This sets cookies on your device and collects your IP address. We do not use advertising or retargeting cookies, and we do not sell your data.

You can block or delete cookies through your browser settings, and you can opt out of Google Analytics entirely using Google's browser opt-out add-on. Blocking these cookies will not stop you using any part of this site.

Who we share it with

We do not sell your personal data. We share it only with service providers who process it on our behalf, under contract and on our instructions:

  • HubSpot — our customer relationship management system, where enquiries and contact details are recorded.
  • Google Analytics — website analytics.
  • Cloudflare — hosting and delivery of this website, including security filtering.
  • Microsoft — our email and business systems.

We may also disclose personal data where we are legally required to do so, or to establish, exercise or defend legal claims.

Where your data is held

Some of these providers process personal data outside the UK. Where that happens, we rely on the UK Government's adequacy regulations, or on standard contractual clauses and the UK International Data Transfer Addendum, so your data receives an equivalent standard of protection.

How long we keep it

We keep enquiry and contact details for as long as we are in active discussion with you, and for up to three years afterwards so we can pick up the conversation if you come back to us — after which we delete them. Analytics data is retained for 14 months. Where we have a legal obligation to keep records for longer, we do so.

Your rights

Under data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • have inaccurate data corrected;
  • ask us to delete your data, or to restrict how we use it;
  • object to our use of your data where we rely on legitimate interests;
  • ask us to transfer your data to another organisation;
  • withdraw your consent at any time, where we rely on consent.

To exercise any of these, email hello@ebisolutions.co.uk. We will respond within one month. Exercising these rights is free, and we will not treat you differently for doing so.

Keeping your data secure

We have appropriate technical and organisational measures in place to protect personal data against loss, misuse and unauthorised access, and we limit access to those who need it to do their job. No transmission over the internet is ever completely secure, so we cannot guarantee absolute security of data sent to us.

Changes to this policy

We may update this policy from time to time. The version date at the top of this page shows when it was last changed. Where changes are significant, we will take steps to make them clear.
